Terms of service

The agreement between UniFi Nerds and anyone running a NerdPortal account. Plain language, no surprises buried in clause 14.

Last updated 11 August 2026

The agreement

These terms are between you and UniFi Nerds ("we", "us"), and they cover your use of NerdPortal. Creating an account means you accept them. If you are agreeing on behalf of a company, you confirm you are authorized to bind that company.

Our privacy policy and cookie policy form part of this agreement.

Your account

  • You must be 18 or older and able to enter a binding contract
  • Give accurate registration details and keep them current
  • You are responsible for activity under your account and for keeping your password safe
  • Tell us promptly at security@unifinerds.com if you suspect unauthorised access

You choose a subdomain when you sign up. We may reclaim subdomains that impersonate others, infringe a trademark, or are used in breach of these terms.

Acceptable use

Do not use NerdPortal to:

  • Break the law, or help anyone else do so
  • Collect personal data without a lawful basis, or contrary to what your portal tells guests
  • Run a portal on a network you do not operate or have permission to operate
  • Impersonate another business, or imply an endorsement you do not have
  • Send unsolicited marketing to addresses captured through a portal, where the law requires consent you did not obtain
  • Probe, overload or interfere with our infrastructure, or work around usage limits
  • Resell or white-label the service unless your plan includes that right

We may suspend an account immediately where we reasonably believe it is causing harm to guests, to other customers, or to the platform.

Guest data obligations

This is the clause that matters most, so it is not buried. When you run a portal you are the data controller for everything your guests submit. That means you are responsible for:

  • Having a lawful basis to collect each field you switch on
  • Publishing terms and a privacy notice, and linking them from your portal
  • Telling guests what you will do with their data before they hand it over
  • Honouring access and deletion requests from your guests
  • Complying with marketing and consent rules where you operate

Collect only what you will genuinely use. We give you the switches; the decision about what is appropriate is yours, and you indemnify us against claims arising from how you use data collected through your portal.

Plans and billing

  • New accounts start on a 14-day trial. No card is required to begin
  • Paid plans bill in advance, monthly or annually, through Authorize.Net
  • Fees are stated on the pricing page and exclude taxes, which are added where applicable
  • Cancel at any time from the billing page. Cancellation takes effect at the end of the paid period — the service keeps running until then
  • Upgrades take effect immediately; downgrades take effect at the next renewal

We do not refund partial periods except where required by law, or where we have clearly failed to deliver the service. If a payment fails we will retry and email you. An account left unpaid may be suspended, and portals on a suspended account stop authorising guests.

If we change our prices we will give at least 30 days' notice by email before the change applies to your renewal.

Usage limits

Each plan includes a number of guest submissions per billing period. Once an account reaches its limit the portal stops accepting new submissions until the period rolls over or the plan is upgraded — which means guests are not authorized onto the network. Monitor usage on the billing page so this does not surprise you during a busy week.

Availability

We work to keep NerdPortal available and will give advance notice of planned maintenance where we reasonably can. We do not offer a contractual uptime guarantee on standard plans; Enterprise agreements can include one.

The service depends on your UniFi controller being reachable and correctly configured. We are not responsible for outages caused by your network, your controller, your DNS, or your internet provider.

Intellectual property

We own the NerdPortal software, brand and documentation. You own your content — your logo, your copy, your guest data — and you grant us only the license needed to host and display it as part of running your portal.

Feedback you send us is welcome and we may act on it without obligation or payment.

Warranties and liability

The service is provided "as is". To the fullest extent the law allows, we disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement.

We are not liable for indirect, incidental, special or consequential damages, or for lost profits, revenue or data. Our total liability arising out of this agreement is limited to the fees you paid us in the 12 months before the claim arose.

Nothing here limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, or for fraud.

Termination

You can close your account at any time. We may suspend or terminate an account that breaches these terms, that goes unpaid, or where we are required to by law — with notice where it is practical to give it.

On termination your portals stop serving and guest data is deleted according to our privacy policy. Export anything you need first.

Changes and contact

We may update these terms. Material changes will be emailed to account holders at least 30 days before they take effect, and the date at the top of this page will change. Continuing to use the service after that means you accept the revised terms.

This agreement is governed by the laws of the jurisdiction in which UniFi Nerds is established, and the courts of that jurisdiction have exclusive jurisdiction over disputes arising from it.

Questions about these terms: legal@unifinerds.com or the contact page.
